Ducati Scrambler at the Bike Shed Moto Show 2024

The Bike Shed Moto Show is the biggest show of its kind, celebrating custom and bespoke motorcycles and attracting 18,000 visitors over three days. We were asked to create an exhibition stand that hinted towards a London apartment, with aspects of day and night, so Ducati could showcase their Scrambler range and provide the backdrop for a world reveal of their two concept bikes. The stand was also to include live custom painting on one of the Scramblers, from Tom Fuller of Image Design Custom.

MotoGirl Dealer Event

MotoGirl Ltd wanted to create an informal, engaging and fun event to bring their dealers together and thank them for their continued support. A flat tracking experience was the preferred activity so we took care of everything, from contacting the guests and managing their experience throughout, to ensuring the group had a great day with a delicious hog roast lunch and fun prizes to commemorate their special achievements.

Royal Enfield City Tour 2024

Following our success in delivering demo rides for Royal Enfield in 2023, we were invited back to take care of their 2024 City Tour; a series of demo rides at dealerships and motorcycle events across the UK and Ireland. We managed the online booking process and customer communication throughout, as well as designing the riding routes and providing highly experienced lead and tail riders, and a Welcome Host, to look after customers throughout their experience.

Ducati Roadshow 2024

Woodcote Events was chosen to create, manage and deliver the Ducati Roadshow 2024, which was returning after a two year hiatus. The brief was to elevate previous roadshows by bringing a touch of Italian finesse and premium style to dealerships and motorcycle events across the UK. The solution was an expanding, mobile showroom 'pod' that not only looked stylish and sophisticated, perfectly representing the brand, but also a practical solution to deliver a consistently great customer experience and to transport the range of bike models easily between events and locations. We also managed the entire customer experience, with an online booking system and registration process, plus lead and tail riders and a Welcome Host.

Experience Adventure Riding at Motorcycle Live

Royal Enfield were one of five motorcycle manufacturers giving visitors the opportunity to ride adventure bikes at the Experience Adventure indoor track during Motorcycle Live 2023, at the NEC. Woodcote Events were asked to manage the experience for Royal Enfield, so customers could give the Himalayan a go. Along with a Welcome Host, we provided two perfectly experienced riders to brief and coach customers, as well as acting as safety marshals whilst on track.

Royal Enfield Dealer Demo Rides

The marketing team at Royal Enfield were looking for a partner to deliver their dealer demo rides across the UK in October 2023. The crucial part of the brief was to have a friendly team, capable of looking after prospect customers and engaging with them throughout their demo ride experience, even in the inevitable wet weather! Our team were a perfect fit for the job, providing a welcome host, and highly experienced lead and tail riders. We planned the route, provided all H&S documentation and carried out rider briefings, ensuring that safety was of paramount importance throughout.

Triumph Scrambler 400 X Press Ride

With Triumph's recent entrance into the 400cc category, their Scrambler X was never going to be far behind the Speed. And if we can manage the exclusive preview of one, we might as well do the other! This time a select few European press got to have a scramble (there's no better word for it), and a ride around the Cotswolds, providing a charming and quintessentially British backdrop to their experience.

Demo Rides at Classic Bike Fest

The UK's newest Classic Motorcycle Festival came to Coventry on 23rd September 2023. Organised by Lukas Distribution, we were asked to support their in-house event team and take care of the demonstration rides for BSA's iconic Gold Star. Demo rides ran throughout the day: every hour, on the hour. We planned out the route, provided all H&S documentation, dealt with all the registration procedures when customers arrived, and provided experienced lead and tail riders to professionally and safely take customers out in groups.

Triumph Speed 400 Press Ride

We were asked to create an intimate UK based press ride experience for a select number of European press, to test ride the recently launched Speed 400. We chose the quintessentially British Cotswolds as the picturesque backdrop to their ride. The twisting country roads, rolling hills and post-card perfect villages were perfect for demonstrating the bike's capabilities.

Triumph Adventure Champions

As a prize for winning a Triumph dealership training programme, we brought sales staff from all corners of the world to the UK and treated them to an experience of a lifetime. Winners represented 14 countries across 4 continents. Our job was to create a week of activities and experiences, manage all logistics with getting them to the UK safely and looking after them throughout their whole experience.

BSA Press Ride

A momentous occasion in the history of British motorcycle manufacturing, we managed every aspect of the launch for putting the all new BSA Gold Star back in to the spotlight.

eSkootr Championship Consultancy

Woodcote Events have been working with eSC, on a consultancy basis since January 2023. As a brand-new sporting concept, trying to break into mainstream awareness, the challenge was to formulate an event plan that would allow the Championship and brand to grow, inspire and excite. After a period of listening to the management team and information gathering, we have devised a full event proposal that can be adapted to suit various global, urban locations.

History in the Making Exhibition

We were tasked to project manage the design and implementation of the new Triumph Motorcycles "History in the Making" exhibition at the British Motor Museum. With over 20 unique and rare models on display, the majority of which were on loan from the Dick Shepherd Collection, the exhibit gave visitors the chance to discover over 120 years of history from the British motoring legend.

Zapp at Goodwood FOS

Woodcote Events provided event staff for the Zapp Electric Vehicles exhibition stand, at Goodwood Festival of Speed 2022, on behalf of marketing agency Wearenameless. This was the first time Zapp had launched itself into the public domain, so articulating product knowledge and data capture, for lead generation, were the two key objectives. Our professional, approachable, and friendly event staff were highly engaging, resulting in a busy stand and captivated audience, providing invaluable qualitative data our experienced team could share with the client.

Testimonials

From the very start, dealing with Woodcote Events was fantastic. Gareth and Jo showed their experience and knowledge by always being one step ahead of our questions.  They effectively facilitated an excellent plan and regular updates with great communication throughout, keeping me and BSA in the loop on all important factors at the right times.

The entire event from start to finish was faultless.  From having an excellent team around them, to knowing who to go to for ad hoc requests or needs that arose was invaluable.  Their experience in managing events shone through but also their ingenuity, flexibility, and willingness to discuss, think of options, and work with us, as their customer with whatever problems or requests we had for them to solve really shone through.

David Edwards - UK & Europe General Manager, BSA

Gareth, Jo and the Woodcote Events team delivered our Adventure Champions rewards event which involved bringing participants, representing Triumph dealers from 12 markets and 4 continents to the UK, many of whom had never travelled, for a week-long trip including a riding event in Wales, a reward dinner at the Triumph Factory and visit to London.

The event was a great success, logistically it was hugely challenging, but delivered flawlessly and the feedback from our winners was incredible. A big thank you to Gareth and Jo. Brilliant job.”

Simon Thrussell - Global Head of Customer Experience, Triumph Motorcycles

“Gareth has a great ability to understand what the attendees are looking for. He has selected some of the best accommodation, routes and destinations I’ve ridden a motorcycle in. The professional, highly skilled team of riders he has at his disposal adds something extra to the events, whilst adding an extra level of safety and security.

The organisation of the whole event is at the highest level and is, without question, a premium experience.”

Adam ‘Chad’ Childs - Motorcycle journalist

“Triumph launches have always been up there among the best for me, simply because they offer everything I need to get the job done…and fast. That’s all down to Gareth and his team. Logistics are perfectly arranged, technical info is readily available and pictures and video are delivered quickly. The riding days, on some of the best roads in southern Europe, are well judged and paced with enough time on to properly assess the bike.”

Michael Neeves - Chief road tester

“Jo’s planning and organising of the Bird & Wildlife Fair made it a premium, first-rate event that considered everything a birding & wildlife enthusiast could wish for. As the main sponsor we felt very looked after. The live days were meticulously planned, every detail was thought about, and our return on investment made the event hugely worthwhile, both from our optics sales and for getting our name out through the national PR coverage.”

Tim Strivens - Director at Cley Spy

“Gareth has produced some of the most fluid press launch experiences out there, nothing is left out. What impresses me more than anything else is the dedication and relationships he has with his team. The same smiling faces welcome us time after time, which tells me that behind the scenes, Gareth works as hard as he does when he’s front of house. If you’re going to trust someone you don’t know to look after you, your bike and your kit on a foreign trip, trust that he’s the right man for the job.”

John Hogan - Editor and road tester

"Organizing global press rides in the motorcycle industry is no small feat. It takes meticulous planning, a dedicated team of professionals, and attention to detail that will not only result in an amazing experience for participants, but excellent content and high levels of safety.

Working with Gareth and his crew has always delivered on those crucial points, ensuring that the job is done right from start to finish."

Nic De Sena - Senior Editor

“I’ve attended dozens of events in the UK, Europe and North Africa, that have been organised, planned and managed by Gareth.

Each one has been implemented in a professional and friendly manner and, from a journalistic point of view, I’ve never left one of his launches feeling that the location, roads, hotel, pictures, or video could have been improved.”

Simon ‘Toad’ Hancocks - Manager & road tester

We asked Woodcote Events to assist with our dealer event and planning, because of their experience in our industry.  The brief was that it should be fun, engaging, informal and great food.  Motogirl Ltd had their first flat track event with a group of 35 people, with a lovely afternoon hog roast.

Thank you for the outstanding organisation. We had a wonderful time and could not imagine pulling off our event without the guidance. Simply put, Woodcote Events exceeded all our expectations.  They were very responsive throughout the entire planning process, kept our team updated on changes, and were very accommodating to all our needs.”

Ina Lombard-Ogilvie - Owner of MotoGirl Ltd

The team at Woodcote Events are superb and we love working with them. They work as extended team members and have proved multiple times how professional and diligent they are. My team loves working with them and to me that speaks volumes. Their skills and expertise raises the bar and helps us to exceed customer expectations and the brand experience.

George Cheeseman - Region Manager UK, International Markets at Royal Enfield
