Here you will find all of the useful information you need to know before you book your experience of a lifetime.
1. About our experiences
2. About you
3. Booking your experience
4. Get prepared
5. Prepare your bike
Our tour and track experiences are presented as ‘package’ holidays, where we do everything for you, excluding flights, to allow you the flexibility of managing your own departure, airport, and flight schedule.
Therefore, in accordance with The Package Travel and Linked Travel Arrangements Regulations 2018, the money you pay in advance is protected by our Financial Failure Insurance.
For your peace of mind, within the riders and Woodcote Events team, there are Emergency First Aid trained staff. Emergency procedures are also given out to all the team.
Before your experience starts we will send you a Welcome Pack with full details of the hotel, daily itinerary and places of interest, riding routes and stop off points. It will also showcase the professional rider hosts who will be joining you, the Woodcote Team and information on personal logistics, including destination transfers and bike transportation.
Think of our experiences as more of a holiday with your motorbike rather than a challenging road tour, clocking up thousands of miles. No advanced riding experience is necessary. Our experiences are more about enjoying your bikes, meeting some motorcycle racing stars, and having fun.
Ultimately you have bought a motorbike and we want you to ride it! There’s no restriction on what type of bike you can bring – we are happy to welcome sports bikes, adventure bikes, naked bikes, tourers, classic and cruisers. Unfortunately we cannot cater for provisional licence holders or restricted CC motorcycles.
Individual events may differ on the type of adventure. Check individual event listings for further details.
The majority of our events will not be challenging or considered for ‘advanced’ riders only (unless specified). They will suit anyone with a full motorcycle licence, a passion for riding abroad and a desire to meet the variety of professional motorcycle racing stars and other like-minded motorcyclists that share a common interest.
We will not be riding all day, or for very long distances. Riding times will generally be between 10:30 and 15:30, which will give you time to enjoy the full experience off your bike as well as on it.
We will arrange your bike to be collected from a location of your choice (i.e., your home).
Your riding kit (leathers, boots, gloves, etc) will also be transported with your bike. If you would prefer to take your full motorcycle kit with you, it will need to be included in your luggage allowance. Your helmet should be taken as hand luggage on board the flight with you. Shortly after you have booked you will be prompted to provide the necessary information for us to complete the transportation carnet.
Our logistics company will pack your bike up and we will complete all necessary documentation for them to transport your bike to and from the destination, safely and securely. The Woodcote Events team will facilitate your bike through customs and ensure it arrives on time for you to start your adventure.
When your experience has ended our logistics company will deliver your bike back to the UK and safely back to the destination it was originally collected from. Expected delivery will be a minimum of 7 days from the event completion.
To get the most out of your experience, we restrict each event to only 30 motorcycles for tours and 60 for track.
For both tours and track days, clients will ride out in staggered groups of 10, so we can offer you a more intimate and safe riding experience, or more focussed coaching for track day experiences, where you will have the space to explore your limits on track.
For tour experiences our professional motorcycle racers will be your lead and tail riders, and you will get to ride alongside all of them at some point during your experience.
Our tour experiences require all clients to always stick together during the organised daily riding times. Our events are not designed for you to go off adventuring on your own.
We require a minimum of 20 motorcycles to go ahead with an event. If we do not reach this number, we reserve the right to cancel the event.
There will be a support vehicle always following the group whilst you are out on the road. This will be for emergency use only, such as ill or injured people and to transport a bike due to any mechanical failure.
An additional guest is welcome to come along, even if they do not wish to be a riding passenger with you.
They are welcome to relax at the pool, spa, or explore the local area whilst you are out riding. Lunch is only included on road riding routes, so your guest will need to provide their own lunch.
Please note that all rooms will be double, as standard, so you will be sharing a room with your guest or passenger.
We welcome couples and friends on our experiences, so if your partner or friend enjoys being a passenger then this is a perfect opportunity to enjoy an experience like this together. Please note, however, that all rooms will be double as standard, so you will be sharing a room with your passenger.
If your passenger chooses not to ride, on any given day, they will need to arrange their own lunch.
You can book online or, if you prefer, you can call us on 0330 1743 490.
In order for you to securely manage and complete your booking online, you will be asked to create an Easol account. You can use your Easol account to login at any time, to pay your outstanding balance and to book any future experiences with us.
Six month payment plans are available, allowing you to pay for your experience in instalments. Once you make your booking with the payment plan option, your credit card will be charged for the first instalment in the plan. You will then be automated charged every month, on the same day you made your orginal purchase, until the final balance is paid.
You will also need to bring with you:
We will assist you with gaining your ATA Carnet, without this your bike will not pass through customs.
Breakdown cover isn’t essential, since we have a support vehicle, so in the event of breakdown a member of our team will be happy to assist in finding local support to get you back on the road. In the event of a full mechanical breakdown, we can still transport your vehicle back to the hotel and patriate your vehicle back to your home in the UK. What it won’t cover is if you have a breakdown during your experience, and you wish to continue riding, and we can assist in finding you a local garage.
We highly recommend that you take out travel insurance to cover cancellation of your holiday in case you can’t take part in your experience due to an accident, illness or redundancy, before departure. This will cover you for medical treatment in the country you visit and must cover you whilst riding a motorcycle. Please check the small print as not all providers cover this.
Before heading off on your eagerly awaited adventure, please take some time to check your motorcycle is well prepared for the experience ahead, including:
We do not offer any mechanical assistance; however, we will of course assist you with sourcing the relevant technical help or local service centre.
In the event of a breakdown, we do have a recovery vehicle on route and of course would rescue and return you, however, we wouldn’t want you to miss out on the rest of your adventure due to over-seeing preparation.
Fuel is not included in the package price. As a group we will make plenty of stops, when required, for you to fill up your tank.
You will need a low amount of petrol in your tank for transportation.
